Paper Explosion CC

By accepting our quotation, invoice, or applying a digital signature via our billing system, you acknowledge that you have read, understood, and accepted the legally binding terms and conditions outlined below.

1. PLACING AND CONFIRMING ORDERS

  • Official Order Channels: All orders must be placed via email or approved through our online billing system. We do not accept order instructions, confirmations, or layout changes via WhatsApp, SMS, or telephone.
  • Digital Sign-Off: Quotations and invoices must be formally accepted via our billing system using a digital signature. By digitally signing, you authorize the production run, and agree to all terms.
  • Production Commencement: Production slots are booked only upon receipt of cleared payment and final artwork sign-off. Completion dates are calculated from this final clearance date, not from the initial quote date.
  • Cancellations & Refunds: Due to the bespoke nature of our manufacturing, no cancellations will be accepted and no refunds will be issued for custom-made items once production has commenced.

2. LEAD TIMES AND RUSH ORDERS

  • Standard Lead Time: Manufacturing requires 14 to 21 working days and is processed on a first-come, first-served basis. Larger orders will require additional lead time, which will be communicated upon production review.
  • Rush Orders: A minimum of 5 working days is required (subject to paper types and material availability). Additional rush fees ranging from 20% to 60% will apply depending on the timeline.
  • Price Dynamic Clause: Even if a quotation was initially accepted at a standard price, the final lead time depends entirely on when payment and artwork are finalized. If delays outside of our control push the production timeline into a rush window to meet your deadline, additional rush fees will automatically be billed to your account.
  • Quality Disclaimer: For rush orders, specific quality standards or the absolute absence of minor errors cannot be guaranteed. Paper Explosion accepts no liability for errors occurring on rush orders.
  • Production Line Interruptions: Any client-requested changes or problems arising during production will cause the order to be removed from the active line. Once re-entered, the lead time resets, and any additional material/printing costs incurred will be billed to the client.

3. PAYMENT TERMS

  • Deposit Requirements: A 75% deposit is required for standard orders. Rush orders require 100% full payment upfront before scheduling.
  • Balance Payments: The remaining balance must be paid before collection or dispatch. No goods will be released without cleared full payment. Partial collections cannot be made unless arranged in advance and fully paid for.
  • Pricing Exclusions: All quotes are EXCLUSIVE of VAT and EXCLUSIVE of delivery fees. Delivery or courier fees are calculated and added to the final invoice once the order is complete.

4. ARTWORK AND PRINTING SPECIFICATIONS

  • Format & Vector Files: For most branding methods (foiling blocks, silk-screening, etc.), artwork must be supplied in a fully vector format (high-resolution PDF, EPS, or original design files). Flattened image files (JPEGs/PNGs) are not accepted for manufacturing setups.
  • Layer Organization: In multi-layered files, all background elements must be placed on separate layers and locked to prevent accidental shifting during our pre-press setup.
  • Design Fees: We are production and box-making specialists, not layout designers. File adjustments, vector tracking, or artwork corrections required to make files production-ready will be billed at R350 per hour.
  • Color Matching & Proofs: Printing colors vary across machines and digital programs. For precise branding, Pantone colour codes must be supplied. If no specific colour data or signed printing proof is requested, we will print directly from the file, and Paper Explosion will not be liable for colour variations.

5. MATERIALS AND MANUFACTURING LIMITATIONS

  • Paper & Supply Delays: Paper Explosion is not liable for supplier shortages, paper dye batch color variances, or third-party delays (e.g., foiling block makers or external trade printers).
  • Customer-Supplied Paper: If the client supplies the material, we accept no liability for prior damage, usability, or shortages. Clients must supply overs of 10% to 15% paper for production wastage. Under no circumstances will customer-supplied wrapping paper be accepted for box wrapping.
  • Handcrafted Nature: All products are handmade; minor variations between items may occur. We consistently strive for a 95% perfection rate. If a project demands a near-100% perfection rate, this must be stated upfront; highly intensive production methods will double production times and incur additional costs.
  • Material Yield: Paper is cut at the template-maker’s discretion for maximum economy. Specific covering alignments must be requested in writing at the time of ordering. Custom structural templates incur a fee of R175 per template.

6. PASSING OF RISK AND TRANSPORT (COURIER)

  • Ex-Works (EXW): All goods are sold “Ex-Works” from Paper Explosion’s premises. The sole responsibility and risk of loss, damage, or destruction passes entirely to the customer the moment the goods leave our facility.
  • Third-Party Couriers: If a courier service is utilized (whether booked by the customer or by Paper Explosion), we act strictly as a facilitating agent. We accept absolutely no liability for transit delays, handling damage, or loss once the courier takes possession of the items.

7. UNCOLLECTED GOODS AND STORAGE FEES

  • Collection Window: Orders must be paid in full and collected within 7 working days of our completion notification.
  • Storage Charges: Orders left uncollected past the 7-day window will incur a storage fee of R150.00 per pallet/consignment per day (or part thereof) to cover warehousing costs and floor space.
  • Disposal of Goods: Any items left uncollected for more than 30 calendar days will be sold or disposed of by Paper Explosion at our sole discretion to defray storage and manufacturing costs. The customer’s deposit and all payments made will be completely forfeited.

8. RETURN, REFUND, AND RECTIFICATION POLICY

  • No Returns: Because all products are custom-manufactured to order, we do not accept returns, and no refunds will be issued under any circumstances once production has been completed.
  • 48-Hour Inspection Window: Any manufacturing defects, shortages, or structural discrepancies must be reported to Paper Explosion in writing via email within 48 hours of receipt/collection.
  • Issue Resolution: If a legitimate manufacturing error is verified within this 48-hour window, the affected products must be returned to Paper Explosion’s premises. We will prioritize the order to re-do, repair, or resolve the problem. We will not accept claims or re-process orders for issues reported after the 48-hour window has lapsed.

9. LEGAL COMPLIANCE AND INDEMNITY

  • Intellectual Property Indemnity: The customer warrants that they legally own or have explicit written permission to use all artwork, logos, and fonts supplied. The customer explicitly indemnifies and holds Paper Explosion CC harmless against any third-party legal claims or lawsuits arising from copyright or trademark infringements.
  • Force Majeure: Paper Explosion cannot be held responsible for production delays caused by machine breakdowns, Load Shedding, or any other unforeseen external power or technical interruptions.
  • POPIA Compliance: By accepting our quotation or invoice, you explicitly consent to Paper Explosion CC processing your personal and business data strictly for administration, credit control, production, and delivery logistics in accordance with the Protection of Personal Information Act (POPIA).
